You may be doing everything right, advertising in all the right places, you have a well-crafted job description and are offering a competitive salary. So, why can’t you attract the applicants you’re trying to reach?

According to CareerBuilder the top reasons applicants fail to complete online applications are usability and time constraints.CareerBuilder research shows that 34 percent of candidates who try to apply for jobs don’t complete the application process – simply because the application process is too much of a hassle.

How do you know it’s time to update your online application form?

Your disclosure and applicant statement are out of date
You’re asking for too much information
You’re asking for not enough information
You’re not being specific enough to the position
You want to improve your candidate experience

If any of these strike a chord with you, it may be time to make some changes.

During the early stages of an application ask yourself “What information do we really need from our candidates?” Make a list of everything you think you require. Then pare it down. Welcome New Employees with iRecruit

Create a fantastic impression of your company by sending a post-acceptance email to your new hires.

In your "Welcome Email" you can let the new employee know what they can expect from their first day, or week on the job, who their contacts and supervisors are, and what is expected of them in the weeks and months to come.

You can also send them any new-hire paperwork that may be needed. You can use the welcome email to give the new employee their first day schedule. Here are some suggestions for your welcome email:

Sending a welcome email to your new hires will make them feel comfortable and informed and get them off to a great start with your company!

What Do You Want In An Applicant Tracking System?

At CMS we speak with employers every day who are looking to make a change to their recruiting and applicant tracking system. With budgets in place for the new year, we see a lot of volume and a lot of questions at the beginning of the year.

These are just a few of the questions we receive and reasons recruiters and managers are reaching out to us to inquire about how iRecruit can help them improve their processes.

1. I need to move away from Email, Excel Spreadsheets and Paper
Data entry into Excel is a huge burden on recruiters and HR Departments, and keeping track of paper files can be a nightmare to manager whether you receive 100 or 1000 applicants per month. Don't miss out on qualified candidates because you are not able to keep track of them adequately. In addition it can be cumbersome to create reports on paper files and stay in compliance with OFCCP requirements.

2. My current system is just not meeting my needs
Whether it's in-house or hosted if your current system is out of date, or does not have all the functionality you require (online applications, creating requisitions, applicant communications, custom application forms, reporting etc), it may be time to reevaluate your applicant tracking software.

3. I need a branded career center

We get a ton of phone calls about this one. It's still a tough job market, so your application volume is up. You receive 200+ applicants for a position that requires a license, for example, but 30% of them do not have the required credentials. With iRecruit you can eliminate this issue by asking a qualifying OFCCP compliant pre-screening question. If the applicant/candidate says "no" to your pre-screening question, then they do not get to complete an application. Instead they will see an invitation to return to your career center and apply to any position that they do qualify for.

6. I need to be Equal Employment Opportunity (EEO) and/or Affirmative Action Plan (AAP) Compliant
If you are not managing your applicant data efficiently, and not collecting the voluntary EEO information you may be audited. iRecruit allows you to collect the Affirmative Action data, and report on it as needed.

7. I want to be able to create custom application forms and ask qualifying questions based on the position
Not every job you have open is the same, and not every applicant is the same, so why ask the same questions? iRecruit will let you build a “standard” form that you can customize for each position you create as needed. Create long forms for entry level positions, and short forms (contact info, referral source, plus resume and cover letter) for salaried positions. There’s no limit to how many you can create.

8. My managers are spread out over several different locations, how do I track their hiring?
iRecruit’s centralized database can allow your hiring managers restricted access to their account. They are limited to seeing only the applicants for their positions. As an example, Manager A with a Sales position in Connecticut will not see the applicants for the Sales position in Ohio that are owned by Manager B.

9. I want to improve our applicant/candidate communication
Being applicant friendly is critical to how the candidates view your company. You never know who may be turned off as a customer if you don’t communicate. Communication with your applicants, letting them know the status of their application provides a positive candidate experience.

10. I want a system that can provide custom workflow

11. How can I take advantage of available Federal Tax Credits?

Treat Applicants like Customers

Just read a fantastic blog post by UpstartHR on how you should integrate HR recruiting with marketing and treat candidates or applicants like a customer. Author Ben Eubanks writes:

"Of course HR/Recruiting should work with the Marketing department if they can. HR is trying to sell ideas internally. Recruiters are trying to “sell” open positions to candidates. Marketing is trying to sell products/services to the public. Why not work together when the opportunity arises?"

Ben goes on to say that candidates don't like to think of their resumes disappearing into a "recruiting black hole" and appreciate a follow up to let them know what their status is.

With iRecruit, communication with applicants and candidates is simple. All applicants immediately will receive an automatic email that you can customize to say "thank you for applying with us" and let them know what your follow up process is. A typical "thank you" email will usually let the applicant know that you will follow up with them should they meet your needs and requirements for the position.

You can also set up additional correspondence in iRecruit. Create emails to update a candidate on their status, let them know the position has been closed or filled. Create an email to invite for interview, or to complete a background check. The annual average number of applications per month in 2011 was 204. August 2011 was the month with the highest volume of applicants, with iRecruit customers receiving an average of 322 applicants in that month.

Requisitions
The Requisition Page will be updated (see attached screenshot) to showmore "at a glance" information about the positions, including dateopened, days open, number of applicants. Functions to share, forward, or addcosts to a position is now located on the Edit page.

Applicantsby Status
If you have a long list of statuses and lots of applicants, it can be a pain toscroll through to see what's new and updated. Now you don't have to! Applicantsby Status will show a total count of applicants for each status listed, andclicking on "show/hide details" will allow you to drill down tosee the list of applicants for a particular status.

ApplicationForm -New Section for Drivers
If you have positions that require additional information regarding drivingrecords and experience we've added a new "DriverRequirements/Experience" section. Questions will be added to the STANDARDform only. If you would like to use this brand new section, you can turn thequestions on under Edit Standard Form.

ApplicationForm - Newly Separated Veterans
A "newly separated date" has been added to to the veteran statusquestions under Affirmative Action. If you would like to use this brandnew question, you can turn the question on under Affirmative Action Form. Thisfield has also been added to the Data Manager for integration to Sage HRMS.

Set up Social Media Sharing under Administration where you can select your social networks and select if you want to share from your career page, or your requisitions page, or both!

Posting to Twitter
Select the Twitter icon under the desired requisition from the Manage Requisitions page. You will have to be logged into a Twitter account in order to tweet your job. The long iRecruit URL will be automatically shortened. You have 140 characters to write about your position. Twitter Tip: Include hashtags on your Twitter post such as #jobs #hiring and the location(s) you are hiring in #farmington #CT.

Posting to LinkedIn

New Requisition Text Editor

iRecruit is adding a new Rich Text Editor for Requisition descriptions. The new text editor replaces the old one and adds several new functions and formatting options, styling, many new fonts, special characters, background colors, hyper linking and HTML editing. Using the new text editor for requisitions you will be able to copy and paste any pre-formatted text that you have, or customize the formatting of plain text job descriptions.

This feature will also be available for company descriptions, and updating the "about us" sections in your applicant career portals.

New year, new job for some folks. iRecruit's average number of job applications jumped to 269 in January compared to 198 in December. The number of new Requisitions for job postings has also increased at the start of the quarter. Looks like we might see an increase in hiring in 2011.

Summary of Updates

New Navigation. Three Options (Sage, Sage2 and iRecruit). The default look is Sage (as seen above) which will be displayed as you log in on Monday.
Application View edited to display all questions.
Pop-up Calendar to select dates everywhere in iRecruit and on the application side.
User Permissions updated to match functions instead of features.
Icons added for user friendliness and consistency.
Delete function updated for consistency with pop up confirmation.
New Mail Merge Feature for Correspondence will allow you to address applicants directly.
Integration to the Work Opportunity Tax Credit Service.
Job Group Codes added in Administration - this is a sub-group of the EEO Classification selected under Requisitions.
Headings Removed from Forms automatically when not in use (Work Experience, Background, Affirmative Action etc.)
New Columns in Excel Report: Org Level 1 (location, department etc), HireDate, SalHour, PayFreq, PayPeriodHrs, Rate, RatePer, JobGroupCodes.
Requisitions can be hyphenated for JOBID and REQID.
JOBID and REQID added to the Assign Requisition function so if you have positions open with the same name you can determine the correct one by ID.
JOBID will populate in Abra HR if you use the same six-digit code set up in Rules.
Referral Source will now populate in Abra HR. This is a six-character code in Abra HR. If unknown, it will populate "iRECRUT".
Requisition Owner will now populate the Recruiter field in Abra HR.
New Administration Sections added: Job Group Codes and Navigation Display. The additional options Salary Grade, File Purpose, Email Approvers, Importance Levels are for a future upgrade to Requisitions that we are working on.

The iRecruit Help File and manuals have also been updated.

CMS is pleased to announce that an update to the iRecruit navigation that will change the way it looks and make it easier to use will take place on Saturday, October 16th in the late evening.

What Is Ofccp Compliance?

The Office of Federal Contract Compliance Programs (OFCCP) is a division of the US Department of Labor that has been charged with implementing the laws that require equal employment opportunity for anyone working within the government contract system. As stated in the OFCCP mission statement, this would mean enforcing laws “that ban discrimination and require Federal contractors and subcontractors to take affirmative action to ensure that all individuals have an equal opportunity for employment, without regard to race, color, religion, sex, national origin, disability or status as a Vietnam era or special disabled veteran.”

That’s a pretty comprehensive law to enforce. Whether you are an employee seeking work or an employer looking to hire new staff, it’s important that you are aware of all the ramifications of the OFCCP compliance.

The first thing to keep in mind with OFCCP compliance is that it applies directly to any contractors or their subcontractors who have work with the federal government exceeding ten thousand dollars. Even if the company you work for has a contract going on in another division or even another state, you must still be in compliance. This also applies to financial institutions which do business with the government. However, this doesn’t mean that all the vendors and suppliers you might use during the course of your business needs an affirmative action program (AAP) but if you enter into contracts with these parties you will need to include an errors and omission (EO) clause in order to be in compliance and protect the interests of your business. The bottom line is that if your company or any part of your company that works with the government, you will be expected to be OFCCP compliant at all times.

Essentially, this means that you need to be up to date with the ethnicity of your employees and potential hires. Posing background questions on an application is completely acceptable. These questions should be for gender, race and ethnicity for any applicant. This is considered to be employee self-identification and is an approved method of collecting this information. In turn, this important information will be used in the contract approval process when you present a roster of employees to the government as part of your bid.

Part of the responsibilities of OFCCP compliance is monitoring. This could mean that representatives from the OFCCP will conduct periodic reviews of your workplace. These could consist of on-site or off-site reviews which will include inspection of employee records and possible interviews. OFCCP determines the contractors for monitoring based on incidents of systematic discrimination. In other words, they are primarily focused on businesses that has shown a pattern of discrimination as opposed to an isolated incident. However, any complaint registered by a current or former employee is given proper consideration and can lead to a complete review.

To make sure that your business is meeting the standards of the OFCCP you can obtain a copy of the Federal Compliance Contract Manual (FCCM) that provides all the guidelines for any contractor to self-audit themselves. By following the guidelines put fort in this booklet you should have no problem going forward. Also, getting a hold of a hiring software solution that possesses OFCCP compliance features will make your job of keeping the business within regulations far easier than manually tracking all the necessary data.

5 Ways Employers Could Improve the Hiring Process

On Careers at USNews.com recently posted an excellent article, that is worth a read if you have a few minutes to spare. The article lists 5 Ways Employers Could Improve the Hiring Process. As I was reading it, I was thinking about how much this relates to iRecruit and how iRecruit actually helps employers manage these suggestions.

Set expectations for the timeline and process. With iRecruit you can send an auto-reply to your applicant to let them know when and if you will be in touch with them regarding the application.
Don't require an unreasonable investment of time and information up front. With iRecruit you can create different application forms for different positions. Depending on the type of job opening you are listing you may want to "edit" your application form only to ask the most necessary questions.
Don't require applicants to hand over their firstborn just to get considered. Most companies using iRecruit do actually ask for Social Security number and references on their applications, but, again with the ability to edit your application and choose which questions are absolutely required you can limit the "barriers" to applying.
Provide candidates with clear well thought out job descriptions. Self explanatory. Make sure your job descriptions, requirements and expectations are readable.
Reject candidates promptly. This is absolutely an important part of the process. Candidates don't want to be kept waiting in the dark. With iRecruit you can contact multiple applicants to let them know the status of their application. Preview Upcoming Navigation Changes

7/23/2010 -- CMS is excited to announce an update to the iRecruit navigation that will change the way it looks and make it easier to use. Prior to debuting this update we would like to invite you for a preview and get your feedback.

The update will include options for Navigation Display, allowing you to choose how you want iRecruit to look. Below are screenshots of two of the new options.

We are pleased to announce that on Friday evening (4/30/2010) CMS will be rolling out some beneficial updates to your iRecruit account. Please click here if you have any questions.

The updates include the following:

The Education Section that includes the line "Please explain your educational background with details on years attended, degrees earned, and Course of study" will now be editable.
Administrators will be able to Delete Comments made on the Applicant Summary page under history.
Under the Applicant Summary page selecting "Comment Only" under history will not change the status of the applicant.
Applicant Search Results page will now include a hyperlink of the applicant's email address.
Applicant Correspondence will now list: Applicant ID, Requisition, Name, and Email Address of the selected applicants you are corresponding with on the Select Package page.

We do not expect any downtime during this minor update.

The Application View now has all questions listed v.s. only those answered by the applicant.
The Social Insurance Number (SIN#) option as a question has been added for Canadian applicants.
Added an Export Report Data to Excel. This export report includes the following information: OrgID, ApplicationID, Requisition ID, Job ID, Application Date, Applicant Status, Job Title, EEO Code, Gender, Ethnicity, Veteran Status, Disabled, First Name, Last Name, Email Address, Phone Number, Address, City, State (Province), Zip (Postal code), Country and Referral Source.
There is a Calendar Link on the Applicant Summary page that will aid scheduling in Outlook or other default Calendar application.
The Application Status page will list ALL applicants for a Hiring Manager instead of being limited to two weeks. It is still limited by date for Administrators who can see all applicants and the list would be large. The date-range selection has been moved to the top of that page.
The Requisitions section is now segregated to Active and Non-Active listings for easier maintenance.

We are pleased to announce that on Friday evening (1/8/2010) CMS will be rolling out some beneficial updates to your iRecruit account. Please click here if you have any questions.

The changes are as follows:

International Addresses We have added a new section for international addresses. This can be turned on or off under Administration. The default is US. If Canada is selected as the country iRecruit will list Provinces instead of States and the zip code will have alpha-numeric characters. For all other countries the state box disappears and only city and zip code remain. International phone numbers will change from (xxx) xxx-xxx to +xxx xxx xxxxxxxx for all but US and Canada selections. The last field here extends to 8 characters to fit the entire number. All but the last 4 characters will map to Sage but will be formatted as if it is a US number.
Duplicate Submission Lock
Upon clicking the submit button the process routine will set a lock so that the entry cannot be duplicated for 5 minutes. The lockout page tells the applicant to check their email for a confirmation before submitting again.
Split Job Duties and Reason for leaving question into two. To separate this question and activate the Reason for leaving question go to Forms and Work History. You will have to rewrite the original question before activating the Reason for leaving.
Application Attachments Section These questions in the Forms section this used to be part of the Work Experience area, but we created a new section for Attachments (Resume, Cover Letter).
MULTI choice selections – These have been added to the main admin tab and has an individual tab to select the allowed and required as well as change the wording of the questions.
Education
a. This has changed from only three entries with High School, College, Post Graduate to a section that allows up to 6 choices and the title for each can be unique. The order and the title of questions can be any number of combinations.
b. There is a toggle to have the second row of data display or not for when needing a High School or Certificate program that doesn’t have degrees.

This titling is similar for the following three sections as well:
Certifications Section
a. Added new section for licenses/certifications that allows up to 8 certifications and groups by titling.
b. This section will display at the end of Education and before the skills questions and can be edited under Forms and Certifications.
References Section
a. Added new section that allows up to 8 references and groups by titling.
b. This section will display at the end of Work Experience and can be edited under Forms and References
Work Experience
Added Title Choice for each section which can be edited under Forms, Display Functions.

DATA MANAGER UPDATES
These changes are in production now but are new.

Country field is dynamic and defaulted to US to prepare for the international addresses.
Increased max count to 20 for recruiting downloads (Recruiting Solution only).
Added a counter to the number of entries being downloaded. (1 of 18 etc..Recruiting Solution only)

EEO Reporting Updates

Also ready for this Friday's upgrade to iRecruit are new methods for EEO Reporting. This will dramatically increase the performance of the EEO reports.

The system has been changed to compile data during off peak periods; periodically. The reports will indicate the last time that data has been compiled and if there are any new applicants in the system that are not part of the list.
We have also added an on demand capability so that you can choose to update your data to current status and re-run reports. This feature has a separate window and instructions and indications of the time it will take to produce new data. (About 1 minute per 100 applicants in the system).
The EEO reports will now reflect all requisitions applied for instead of only the primary position.
The EEO reports now have an Unknown Determinant listing for applications that have not been given any gender or ethnicity information. This will allow a full disclosure of the state of all applicants. There is also a new feature that will allow this information to be updated for applicants from the EEO report.

We are pleased to announce that on Sunday evening (9/27/2009) CMS will be rolling out some beneficial updates to your iRecruit account.

The following changes are now live:

Authentication – The site will be changing from basic authentication to application authentication to allow the ability to prohibit entry from inactive users. The site also has enhanced the logout feature to instantly terminate a users session and force a login on demand. This means that you will see a new iRecruit secure log in screen instead of a popup login.
Application Forms and Email Correspondence - The Email Correspondence for the administration of forms reflects an editing capability that reflects the plain text of an email. This means that going forward all applicant emails will retain the plain text format that you intend, and will not be reformatted with unusual characters seen in HTML emails.
Application Forms - The long text boxes on the application forms now have a character count down and limitation. They are limited to 250 characters and applicants cannot write any more than that, so what you receive from the applicant will no longer be truncated.
Application Forms - Numeric Fields on the application as in Salary Desired are now validated as numeric. Applicants will no longer be able to put in other characters such as "?".
Application Forms - We can now accept different file attachments for Resumes and Cover Letters. Currently accepting: .doc, .docx, pdf, .ppt, .rtf, .txt, .wks, .xls.
Applicant Status - The Comments only and Status field has been updated. Applicants can now traverse up and down the process flow and comments are now more UI friendly. This means that if you had previously changed a ‘new applicant’ (1) to an ‘invite for interview’ (2) status, and then tried to change it back to a ‘new applicant’, it would not register.
Applicant Status - The Application status is separated from the DataManager status. iRecruit now indicates both statuses on the summary page. Applicants are not removed from the process flow or search when the DataManager is run and keep their status indications.
Applicant Search - The search has been updated to allow the selection of seeing the DataManager downloaded data or not.
Saved Searches - The saved search feature is now available to anyone who has search capabilities. This used to be blocked to Hiring Managers and Recruiters if they did not have edit permissions.
Forwarded Emails - The subject line for the forwarded applicants email now has the applicants last name, first name added to it.
Data Manager - You can now turn off or on the user's rights to see the Data Manager.
Reports - New Referral Source report added.
